1.Introduction
This Privacy Policy explains how Renate Global Private Limited ("Reney", "we") collects, uses, and protects personal data when you use our Service. We act as a data fiduciary for the data of our Customers (the businesses who subscribe), and as a data processor on behalf of those Customers for the candidate data processed through interviews. We comply with India's Digital Personal Data Protection Act, 2023 (DPDP Act) and applicable data-protection laws in the regions we serve.
2.Data We Collect
From Customers (businesses): name, business details, contact information, billing information, account credentials, and usage data.
From Candidates (interviewees): name and contact details provided by the Customer or the candidate; voice recordings of the interview; transcripts of the interview; responses; and AI-generated scores and evaluations. Interviews are conducted by AI, and candidates are informed of this and asked to consent before the interview (see AI Disclosure & Consent).
3.How We Use Data
- To provide the Service: conduct interviews, generate transcripts, scores, and rankings, and deliver results to the Customer.
- To operate, secure, support, and improve the Service.
- To process payments and manage subscriptions.
- To comply with legal obligations.
4.Voice and Interview Data
Candidate voice recordings, transcripts, and scores are processed to deliver interview results to the Customer who invited the candidate. This data is processed on behalf of, and made available to, that Customer. We do not sell candidate data. We use it to provide the Service and may use de-identified, aggregated data to improve interview quality. Candidates are informed before the interview that it is conducted by AI and recorded.
5.Legal Basis and Consent
Candidate data is processed on the basis of consent obtained before the interview and/or the legitimate hiring purpose of the Customer, consistent with the DPDP Act and applicable law. Customers are responsible for ensuring a lawful basis to invite each candidate.
7.Retention
We retain candidate interview data for as long as needed to provide the Service to the Customer and as required by law, after which it is deleted or de-identified. Customers may request deletion of candidate data associated with their account.
8.Your Rights
Subject to applicable law, individuals may request access to, correction of, or deletion of their personal data, and may withdraw consent. Candidates should direct requests to the Customer who invited them, or contact us and we will route the request appropriately. To exercise rights, contact hi@reney.ai.
9.Security
We protect personal data with technical and organisational measures, described further in our Data Security document. No system is perfectly secure, but we work to protect your data and to notify affected parties of breaches as required by law.
10.International Transfers
We operate across India, MENA, and Southeast Asia. Where data is transferred across borders, we take steps to ensure it remains protected consistent with applicable law.
11.Children
The Service is not intended for individuals below the age required to consent to processing under applicable law. We do not knowingly process such data without the consents the law requires.
12.Changes
We may update this Policy. Material changes will be communicated through the Service or by email.
